Last Updated: June 22, 2026
1. Introduction
Prime Calendar ("we," "us," or "our") respects your privacy. This policy explains how we collect, use, safeguard, and process your personal data when you use our website (https://www.primecal.eu) and the Prime Calendar application ("the Service").
2. Our Role: Controller vs. Processor
Under the GDPR, Prime Calendar acts in two capacities:
- Data Controller: For your account information, billing details, and usage data. We decide how and why this data is processed.
- Data Processor: For the specific calendar events, participant details, and reservation data you input or sync into the Service. You (the user) are the Controller of this data, and we process it strictly on your behalf to provide the Service.
3. Information We Collect
We collect the following types of information:
- Account Information: Name, email address, password (encrypted), and billing details.
- Service Data: Reservation details, event titles, times, and participant information managed through the platform.
- Third-Party Data: When you connect external calendars (e.g., Microsoft Outlook, Google Calendar), we collect authentication tokens and calendar event data strictly required to sync your schedule.
- Usage Data: IP addresses, browser types, device information, and interaction metrics on our website.
4. How We Use Your Information & Lawful Basis
Under the GDPR, we must have a lawful basis for processing your data. We use your data to:
- Provide, operate, and maintain the platform (Lawful basis: Contractual Necessity).
- Sync calendar events and manage resource bookings (Lawful basis: Contractual Necessity).
- Process payments and send transactional emails (Lawful basis: Contractual Necessity and Legal Obligation).
- Improve our Service and analyze usage trends (Lawful basis: Legitimate Interest).
- Comply with legal and tax obligations (Lawful basis: Legal Obligation).
5. Important Note Regarding Third-Party API Data
Prime Calendar's use and transfer to any other app of information received from third-party APIs (including Google APIs or Microsoft Graph APIs) will strictly adhere to their respective User Data Policies, including the Limited Use requirements. We only access the calendar data necessary to provide scheduling functionality, and we do not use this data to serve advertisements.
6. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to keep you logged in, remember your preferences, and analyze site traffic. You can manage your cookie preferences through your browser settings. For more information, please see our Cookie Policy.
7. Data Sharing and Disclosure
We do not sell, rent, or trade your personal data. We may share data with:
- Service Providers: Third-party vendors who assist us, such as cloud hosting, payment processors, and transactional email delivery services. These providers are bound by strict data processing agreements.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as a business asset.
- Legal Authorities: If required by law, court order, or to protect our legal rights.
8. International Data Transfers
Some of our service providers may process data outside the European Economic Area (EEA). When we transfer your data internationally, we ensure it is protected by appropriate safeguards, such as the European Commission's Standard Contractual Clauses (SCCs) or adequacy decisions.
9. Data Retention
We retain your personal data and calendar sync data only for as long as your account is active or as necessary to provide the Service. If you delete your account, all associated personal and schedule data will be securely and permanently deleted from our servers within five (5) days.
